Award Notification
Dear [applicant's name],
Congratulations! We’re pleased to let you know that the Code4Lib Scholarship Committee has selected you to receive a scholarship to support your attendance at Code4Lib 2018 in Washington, D.C., February 13-16, 2018. These scholarships were made possible by donations from MIT Libraries, DuraSpace, The School of Information Sciences at the University of Illinois, Temple University Libraries, Smithsonian Libraries, The Ohio State University Libraries, and the Code4Lib community.
Please let us know as soon as possible whether you will be able to accept this award and attend the conference. We would very much appreciate a reply by Tuesday, December 5. Once you have confirmed, you will receive an email from CONCENTRA Conference Management Services inviting you to register for the conference and pre-conference sessions (February 13) at no cost. Registration opens on Wednesday, December 6, at 12pm EST, and spots are being held for scholarship recipients.
Logistics
Each scholarship award covers up to $1,500. Attending both the conference ($350) and the pre-conference day ($60) leaves $1,090 remaining to cover other expenses, including transportation, lodging, and any meals not provided by the conference. If your costs are less than the total award, you will only be reimbursed for the amount spent. If you choose not to register for the preconference day, the remainder would be $1,150. Original receipts are required for reimbursement, which will be handled on site during the conference.
If you choose to stay in the Omni Shoreham Hotel (official conference venue), CONCENTRA will handle your hotel reservation and the Local Planning Committee will arrange to pay the cost ($182/night) directly; you won’t need to wait for reimbursement for those funds. If you choose other lodgings, you will need to submit your receipts for reimbursement after the conference.
The Scholarship Committee is available to help with travel planning. We’ll follow up with more information about traveling to and attending the conference, once you've confirmed acceptance.
One-on-one meetings & buddy system
Members of the Scholarship Committee will be available to meet one-on-one to answer any questions you might have about attending Code4Lib. Please let us know if you'd be interested in such a meeting and one of us will follow up to set up a time.
Additionally, members of the Code4Lib community are available to act as conference buddies. This can be a great resource, especially for newcomers. Please let us know if you're interested in being matched with a buddy.
We look forward to seeing you in Washington, D.C., in February. If you will be unable to attend the conference, or choose to decline the scholarship, please let us know as soon as possible.
